Appointment Management and Cancellation Policy

Our aim is to provide high-quality dental care while making the best possible use of the clinical time available to our patients. To help us run appointments efficiently and minimise unnecessary waiting, we operate the following appointment management and cancellation policy.

We understand that plans can change. If you need to cancel or rearrange an appointment, we ask that you give us at least 24 hours' notice. Late cancellations and missed appointments leave clinical time unused that could otherwise have been offered to another patient who may need care.
We send text message reminders approximately two to three days before an appointment, and email may also be used to confirm appointment details. These reminders are provided as a helpful courtesy, and we ask patients to ensure that the contact details we hold for them remain accurate and up to date.

We will only cancel or delay an appointment where circumstances make this unavoidable. If this happens, we will contact you as soon as possible, explain the reason and offer a new appointment at the earliest available opportunity.
If you are unable to arrange a new appointment at that time, we will ask you to contact us when convenient so that we can offer you a priority appointment. We appreciate the inconvenience that a change to an appointment can cause and will always aim to minimise disruption wherever possible.

For NHS patients, we do not charge a fee for a missed appointment or a cancellation made with less than 24 hours' notice. However, repeated missed appointments or late cancellations may affect our ability to continue providing NHS care. If more than two NHS dental appointments are missed or cancelled with less than 24 hours' notice, we cannot guarantee that we will be able to complete the current NHS course of treatment or offer further NHS treatment at the practice. Where appointments continue to be missed, we also reserve the right to ask the patient to seek NHS dental care from another practice.

For private patients, appointments that are missed or cancelled with less than 24 hours' notice may incur a fee. The charge is based on the length of clinical time reserved and is set out in our current private fee list.

If an appointment is missed, we aim to contact the patient by telephone or in writing to understand the circumstances and explain any applicable private fee or decision relating to their NHS dental care. We recognise that illness, emergencies and other unavoidable circumstances can arise, and these will always be taken into consideration.

If you would like a decision relating to a missed or cancelled appointment to be reviewed, please put your request in writing and address it to Iman Namjoynik.
